Create your professional workspace

Set up where clients reach you, then choose whether the assistant represents your organization or you in your professional role.

The two workspace types

Every account has two workspaces, but they serve very different purposes:

  • Business workspace — where clients reach you. This is where the assistant lives, where your offerings, calendar, knowledge base, and inbox sit, and where your public link points. Almost everything in this documentation refers to the Business workspace.
  • Personal workspace — your client-side hub. It tracks your own appointments, quotes, and conversations with the businesses *you* interact with (your dentist, lawyer, designer, accountant, …). It has no public link, no inbound messaging, and no AI assistant. Think of it as your personal client account across every business that uses All At Once.
Personal workspaces are not a place for friends or family to message you. All At Once is business-only on the inbound side.

Choose who the assistant represents

Your professional workspace has two identity options. This is a voice and signature choice, not a different workspace type or permission level.

  • The organization or team — the assistant uses we, the organization name, shared knowledge, and your offerings. Choose this when clients contact your business, brand, or a shared team.
  • Me in my professional role — the assistant uses I, your professional name and optional role, while keeping the organization and its knowledge as context. Choose this when clients contact you specifically for your expertise, role, or relationship—even within an organization.

If another teammate could reply without it feeling strange, choose the organization. If clients expect you specifically, choose yourself. Both options use the same Studio capabilities, organization knowledge, tools, and authority model; the choice changes the public voice, profile, and signature.

Your professional name and role appear on the public assistant profile and in email signatures. You can change the choice later in Studio → Business. If an email draft is waiting for review, review or discard it first so an existing draft cannot be sent with a new identity.

Set up your professional workspace

  1. Sign up at allatonce.app
  2. Confirm your email
  3. Choose who clients expect to hear from, then confirm the organization and public identity details
  4. Optionally add a starter offering. For professional representation this can simply be a bookable intro meeting; for an organization it can be a service, consultation, or product
  5. Open Studio and tweak the assistant's tone, hours, and policies

Website import, uploaded documents, and FAQs remain organization knowledge in both modes. The professional assistant can answer from that knowledge, learn reusable answers from reviewed activity, and offer meetings or services from the same offering catalog.

What unlocks when

  • Business identity + verified owner email + approved content → the assistant can go Live
  • Approved content can be either a published offering or an approved reusable answer / knowledge item
  • Availability + a bookable offering → the assistant can propose appointment times
  • Connected calendar → selected calendars block conflicts and confirmed bookings sync to the Primary calendar
  • Stripe Connect onboarded → paid offerings can be booked and paid end-to-end

The setup checklist in Assistant is authoritative: it only shows steps that currently block real clients. Stripe and calendar sync are not required for an answer-only assistant.

Tips

  • Don't worry about getting Studio settings perfect on day one — the assistant learns from your edits in the inbox.
  • Onboarding can be re-opened any time from Studio if you want to revisit a step.
